A dealer group with several showrooms was moving to a corporate CRM with no entry point from the internet. In season, 2,500 to 3,000 enquiries a month came through their forms and campaigns, and every one of them had to land somewhere.
CHALLENGE
A CRM closed to inbound traffic
- The new CRM ran only inside the company network. Nothing from the internet could reach it.
- Dozens of landing pages, five ad accounts and ten branches, each source with its own integration.
- Every new campaign meant one more automation to build and one more to break.
- Sales reps received technical campaign names and phone numbers in a format the CRM API rejected.
- Webhook, tunnel and email all fell through: security policy, an IT decision, and a mailbox that is not a stateful queue.
SOLUTION
Pull architecture: Make.com and n8n
- Make.com in the cloud receives enquiries from Facebook Lead Ads and landing pages and writes them to a buffer.
- A local n8n instance polls the buffer every five minutes and writes the records to the CRM through its API itself.
- To the firewall it is ordinary outbound traffic. Nobody had to make an exception in the security policy.
- Routing to branches by standardised campaign names and a dictionary, instead of a separate scenario per campaign.
- Phone number with a prefix, first and last name split, a readable source instead of a technical label.
- The status changes only after the CRM confirms the write, so a dropped connection never creates a duplicate.
RESULT
99.9% of enquiries without an error
- 2,005 of 2,007 enquiries routed automatically in a single measured month.
- More than eighty scattered automations reduced to four flows.
- Five ad accounts and twenty active sources handled by one mechanism, split across ten branches.
- A new campaign needs no technical work. A name that follows the convention is enough.
- Zero inbound traffic into the client network.
